Webex Calling

Webex Calling is the cloud-based/next-generation version of the Cisco calling platform NKU has historically used. Webex Calling can be used on your computer or mobile device as well as through physical desk phones.

In order to activate Webex Calling, you must visit https://www.webex.com/downloads.html to download the Webex app for your computer or mobile device. 

The best way to reach other NKU users remains using Channel to Channel communication within Teams.

Getting Started with Webex Calling

Download the Webex app at https://www.webex.com/downloads.html to get the app for Windows, Mac, iPhone, iPad, and Android.

  • For Webex App for Windows, you must have Windows 10 or later and  Windows 64-bit
  • For Webex App for Mac, you must have macOS 10.15 or later. You can also choose from a Mac OS Intel or Mac OS Apple M1 chip installation for Webex App.
  • Mobile versions are also available in the Apple and Google Play stores. Uploaded Image (Thumbnail)

  • There also appears to be support for Ubuntu and Red Hat, but it has not been tested yet.

Download and run the installer file (below image is what it looks like on Windows).

Accept the terms and conditions.

Sign in with your NKU email address and password, then hit Next

You are all set and ready to make calls!

  • IMPORTANT: During this testing phase, Webex DOES NOT support 4-digit dialing on outbound calls (this will be resolved once everyone is switched over). Other NKU users will be able to dial in to you using a 4-digit extension, but you will need to dial other NKU users using the full 10-digit number.

 

Adding Webex Calling to Teams

You can actually use Webex Calling within Teams! There is an app within Teams that adds a Cisco Calling button (formerly called Webex Calling) within Teams.

Once you install the app and sign in with your NKU email address you will be able to use Webex Calling within Teams.

Once we have more people over on Webex Calling, the default Teams Calling button will be overwritten by the Webex Calling app and applied automatically.

 

The best way to reach other NKU users remains using direct communication in Teams.

Setting up your Webex Voicemail

At user.webex.com

Sign in to your Webex Settings at user.webex.com and select the gear icon on the lefthand side.

Select Calling in the top header, then click  Voicemail in the lower header.

Under Send Calls to Voicemail, turn on Send calls to voicemail when line is busy and Send calls to voicemail when no one answers.

Select Custom message to record your own greetings. You can either upload a file or record natively.

If you would like to have a copy of your voicemail messages emailed to your NKU email, go down to Additional Settings and switch the toggle for Email a copy of the voicemail message to the right.

On a physical desk phone or through the Webex App

Call into the Voice Portal (5800) from the desk phone or hit the Messages button.

  • If you are calling into the primary (first line) voicemail assigned to the phone, enter your six digit PIN, followed by #
  • If this is the first time that you are accessing the voicemail box, you will be prompted to set up your personalized name. You can then follow the prompts to customize your busy and no-answer greetings. 
  • Voicemail Menus
    • Main Menu: Press 1 to access your voicemail box (this allows you to access your messages, as well as modify your mailbox greetings)
      • VM box Submenu
        • Press 2 for busy greeting
        • Press 3 for no answer greeting
        • Press 4 for extended away greeting
        • Press 5 to compose/send new message
        • Press # to repeat the options
        • Press * to return to the main menu
    • Main Menu: Press 3 to access your greetings menu (allows you to record or re-record your name)
      • Greetings Submenu
        • Press 1 to record name
        • Press # to repeat the options
        • Press * to return to the main menu
    • Main Menu: Press 8 to change passcode
      • Press # to repeat the options
      • Press * to return to the main menu
    • Main Menu: Press 9 to exit

Setting or Resetting your Voicemail PIN

Sign in to your Webex Settings at user.webex.com and select My Profile.

Select Calling in the top header, then click  Voicemail in the lower header and then select Reset Voicemail PIN.

Enter your New Voicemail PIN, making sure to meet the following requirements:

  • Must contain
    • 6-30 digits
  • Must not contain
    • repeated patterns
    • last 10 Voicemail PINs
    • the reverse of your old PIN
    • your phone number or extension
    • the same digit 3 times in a row
    • 3 ascending digits or 3 descending digits
    • the reverse of your phone number or extension

Re-enter your PIN in Confirm Voicemail PIN and click Save.

 

Checking your Webex Voicemail

In the Desktop App

Click the Voicemail button on the left-hand side and select the message you would like to listen to and hit the play button.

In the Mobile App

In the mobile app, hit the Calling button in the bottom-middle of the screen.

Select Voicemail in the top right-hand corner and then select the voicemail you wish to hear.

Hit the play button to listen to the voicemail on the Voicemail Information screen.

At user.webex.com

Select Calling in the top header, then click  Voicemail in the lower header and then select Manage Voicemails.

Click on the voicemail you wish to listen to and then press the play button

By selecting the three dots on the right-hand side you can chose to download or delete the voicemail.

You can also bulk manage multiple voicemails by checking the messages you are interested in performing the action on at the left-hand side and then selecting the Manage button at the top

On a physical desk phone

NOTE: This is not the preferred way to manage voicemail for your personal extension, see Webex Calling: Accessing and Setting up Voicemail for a Shared Line for information on how to manage shared, main, or vacant lines.

Press 1 to access your voicemail box (this allows you to access your messages, as well as modify your mailbox greetings)

 

Voicemail Greeting Types

There are 3 types of greetings available to record for your voicemail box: the busy greeting, the no answer greeting, and the extended away greeting.  

  • The busy greeting is presented when you are on another call and allows the caller to leave a voicemail. It can be set up through user.webex.com, or through calling into the Voice Portal (on the desktop/mobile apps or a physical desk phone) and pressing 2.
  • The no answer greeting is presented when the call is not answered and allows the caller to leave a voicemail. It can be set up through user.webex.com, or through calling into the Voice Portal (on the desktop/mobile apps or a physical desk phone) and pressing 3.
  • The extended away greeting allows you to set a message, but does not allow the caller to leave a voicemail. It can only be set up through calling into the Voice Portal (on the desktop/mobile apps or a physical desk phone) and pressing 4.
    • Extended away greetings do not allow voicemails and should only be used for extended leaves (such as family/medical leave or sabbaticals) or separations from the university.
    • To set an extended away greeting:
      • Call into the Voice Portal (5800) from the app, desk phone, or by hitting the Messages button on a desk phone.
        • If you are calling into the primary (first line) voicemail assigned to the phone, enter your six digit PIN, followed by #. 
        • If you are calling into a voicemail that is not the primary (first line) main line (such as a department main number) on the phone, hit *, then the mailbox number you are trying to access (either 859572XXXX or the four digit extension) followed by #, then your six digit PIN, followed by #.
      • Press 3 to access your greetings menu, then press 4 for to set your extended away greeting.
      • Record your message, then press # to end the recording.
      • Press 4 to activate your extended away greeting.
      • To deactivate the extended away greeting, follow the previous steps and press 2 when prompted.
    • When turned on, the extended away greeting will override all other voicemail settings.

Webex on the Web

If you are using a device that you are not able to install the app on or is not compatible with the Webex app, you can also sign into Webex on the web at https://web.webex.com/sign-in using your NKU username and password.

There is also a Chrome browser extension that supports Webex calling, but it has not been tested internally yet.
